Role Overview

We are seeking a highly organized, proactive, and professional HR & Executive Operations Manager to serve as the single point of contact for global talent acquisition, CEO secretarial support, administrative operations, and compliance coordination with our Hong Kong legal team.

This is a standalone, high-impact role requiring a versatile individual who can manage recruitment across multiple geographies, handle all employee documentation, draft professional correspondence, leverage AI for efficiency, and seamlessly coordinate legal paperwork with our Hong Kong office to ensure full regulatory compliance.

Key Responsibilities

1. Global Talent Acquisition & Recruitment

• Manage end-to-end recruitment for staff and interns across the globe (job posting, sourcing, screening, interviewing, and offer negotiation).
• Coordinate with hiring managers worldwide to understand workforce needs.
• Ensure a smooth, standardized onboarding experience for all new hires.

2. Legal Documentation & Compliance Coordination (Hong Kong Office Liaison)

• Draft preliminary employment contracts, offer letters, NDAs, and other HR agreements in alignment with templates provided by the Explera DMC Hong Kong legal team.
• Liaise directly with the Hong Kong office to ensure all final legal documents, statutory filings, and employment paperwork are fully compliant with Hong Kong regulations and company policies.
• Prepare and submit all company-related forms, online registrations, and regulatory applications, funneling final approvals through the Hong Kong legal authority.
• Maintain accurate, auditable employee records in line with HK compliance requirements.

3. CEO Secretariat & Executive Support

• Act as the CEOs personal secretary managing calendars, scheduling meetings, coordinating global travel arrangements, and handling day-to-day administrative tasks.
• Draft, review, and reply to professional emails, business correspondence, and internal communications on behalf of the CEO.
• Prepare meeting agendas, Minutes of Meetings (MoM), presentations, and reports.
• Handle confidential and sensitive information with the utmost discretion.

4. HR Operations & Administration

• Manage employee records, attendance, leave tracking, and HR databases.
• Oversee the full onboarding and induction process for all new joiners.
• Support employee engagement, training coordination, and internal communications.
• Manage office administration and vendor coordination as required.

5. Leveraging AI for Efficiency

• Utilize AI tools (e.g., ChatGPT, Copilot, AI recruitment platforms) to automate candidate screening, draft job descriptions, generate professional emails, and streamline repetitive HR administrative tasks.
• Continuously identify and implement AI-driven process improvements to enhance productivity across HR and executive support functions.
