Role Summary

The Assistant Manager Administration will oversee the day-to-day administrative operations at BECO, ensuring a safe, efficient, and well-managed workplace. This role will lead the admin team, manage facilities, vendors, travel, and office services while driving operational excellence and cost efficiency.

Key Responsibilities

• Lead and manage the administration team, ensuring smooth day-to-day operations.
• Oversee facility management, including housekeeping, maintenance, office infrastructure, and workplace upkeep.
• Manage security operations, visitor management, and office safety protocols.
• Coordinate domestic and international travel bookings, accommodation, and logistics.
• Manage vendors for facilities, security, housekeeping, travel, and office services, including contract negotiations and performance reviews.
• Oversee procurement and inventory of stationery, pantry supplies, and other office consumables.
• Maintain office assets, coordinate repairs, and ensure timely maintenance of equipment.
• Monitor the administration budget, control costs, and coordinate invoice processing with Finance.
• Support office events, employee engagement activities, and meeting room management.
• Ensure compliance with company policies, statutory requirements, and facility-related documentation.
• Continuously improve administrative processes to enhance efficiency and employee experience.

Qualifications

• Bachelor's degree in any discipline.
• 58 years of experience in administration and facility management, with experience leading a team.

Skills

• Strong leadership and organizational skills.
• Vendor and facility management experience.
• Excellent communication and stakeholder management.
• Budgeting and cost control.
• Strong problem-solving and multitasking abilities.
• Proficiency in Microsoft Office.
