US Onboarding Executive - Roles & Responsibilities

1. Manage the complete onboarding process for new hires, ensuring a smooth and efficient transition from offer acceptance to joining.
2. Coordinate with candidates, recruiters, HR teams, clients, and internal stakeholders to complete onboarding requirements within defined timelines.
3. Collect, review, and validate essential documents such as identification, employment forms, background verification documents, and compliance paperwork.
4. Conduct pre-employment verification and follow up with candidates to resolve documentation or compliance gaps.
5. Ensure new hires complete required onboarding forms, policies, agreements, and other employment-related formalities.
6. Maintain accurate and up-to-date employee records in Applicant Tracking Systems (ATS), HRIS, and internal databases.
7. Coordinate background checks, drug screening, employment verification, and other client-specific onboarding requirements, where applicable.
8. Communicate onboarding instructions, joining details, company policies, and next steps clearly to candidates.
9. Monitor onboarding status and proactively follow up on pending documents, approvals, verifications, and start-date requirements.
10. Work closely with US-based clients and hiring teams to ensure compliance with contractual and onboarding standards.
11. Address candidate queries related to onboarding, documentation, payroll setup, benefits, and joining formalities.
12. Prepare onboarding reports, trackers, and status updates for management and internal teams.
13. Ensure compliance with company policies, client requirements, and applicable US employment and onboarding procedures.
14. Maintain confidentiality and accuracy while handling sensitive employee and employment-related information.
15. Identify onboarding delays or process gaps and coordinate timely resolutions to ensure a positive candidate experience.

Earn certifications in these skills

Other requirements

1. 1+ years of experience in HR, onboarding, recruitment coordination, or a related role.

2. Strong communication, follow-up, and organizational skills.

3. Good knowledge of MS Excel/Google Sheets and basic HR documentation.

4. Ability to work in a US shift/night shift environment.

Salary

Probation:

Duration: 6 months

Salary during probation: ₹15,000 - 15,250 /month (only for freshers)

After probation:

Annual CTC: ₹ 2,20,000 - 2,50,000 /year
