Location: Hyderabad, India (new office), hybrid

Reports to: Initially reports to Site Manager, dotted line reports to Global Director of Human Resources

Role Overview

As the founding member of the new India office, you will be the right hand to the Site Manager during the critical launch phase of our India operations. This is a high-impact, multifaceted role where you will manage the administrative backbone of the company - from coordinating office build-outs and vendor relationships to executing the daily HR operations that support our growing engineering team.

Key Responsibilities:

1. Recruitment & HR Coordination

• Serve as the subject matter expert on local employment laws and statutory compliance, advising the People team on policy creation, employee relations, and HR risk management.
• Manage the day-one orientation for new hires, ensuring all equipment, access badges, and "welcome kits" are ready.
• Maintain secure employee files and ensure all mandatory local documents (Form 11, Aadhaar/PAN copies) are collected and filed.
• Support the payroll team by working with our local payroll provider to track attendance, leaves, and reimbursement claims for monthly processing.
• Assist the Site Manager in scheduling interviews, managing candidate pipelines to scale the engineering team.

2. Office Administration

• Lead the initial office setup by coordinating with interior designers, IT installers, and furniture vendors.
• Act as the primary point of contact for the facility manager, ensuring the office is clean, stocked with supplies, office keys are safely managed, and fully functional.
• Manage relationships with local service providers (Internet, Utilities, Housekeeping, and Security).
• Arrange travel and accommodation for visiting guests,  global leadership and local team events.
• IT equipment shipping and handling, and tracking

3. Compliance & Legal Support

• Assist the Site Manager in gathering documents required for MCA filings, GST registrations, and labor law compliance.
• Ensure the office remains compliant with local safety regulations and support the implementation of POSH Act awareness training.

Skills and Experience:

• Experience: 10+ years of experience in HR Administration or Office Management, preferably within a fast-paced tech startup or a multinational company.
• Fluent in English and Hind (both written and spoken)i; proficiency in the local regional language of the office site is a strong advantage.
• High proficiency in Google Workspace (Docs, Sheets, Slides) and familiarity with HRIS/Payroll software.
• A proven ability to juggle multiple operational tasks with high attention to detail and zero oversight.

Preferred Qualifications

• Familiarity with the "Shops and Establishments Act" and basic Indian labor law compliance.
• Experience working in a global team environment.
