Executive Assistant

Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff.

Our company is looking for a Executive Assistant to join our team.

Responsibilities:

  • Helping prepare for meetings;
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives;
  • Administrative tasks and functions in all departments;
  • Should be process oriented and would get to use our weapons of choice (ical, JIRA, Confluence, lucid chart, to do list etc ) for managing work;
  • Reliable with patience and professionalism;
  • Greet and assist visitors when they arrive at the office;
  • Preparing presentations and other required documents;
  • Filing / Documents for signing and approval;
  • Monitor office supplies inventory and place orders;
  • Coordinating travel plans and meetings;
  • Follow ups with the client;
  • Monitor office expenditures and handle all office contracts (rent, service etc.);
  • Maintain files and records with effective filing systems;
  • Assist in vendor relationship management;
  • Task Assignment and follow up.

Requirements:

  • Should have an eye for detail;
  • Quick Learner;
  • Fairly computer savvy, proficient at using the Internet, and demonstrable technical aptitude / inclination;
  • Process oriented: Demonstrable commitment to following processes, documentation etc;
  • Graduate;
  • Percentages should be above 60 in SSC, HSC & Graduation;
  • Good typing skills;
  • Experience in the office / assistance and office management;
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills;
