Job Purpose

The Soft Services Lead is responsible for directing and overseeing end-to-end soft services operations across dual environments (corporate headquarters and manufacturing plant facilities). This role ensures seamless daily facility management, statutory hygiene compliance, vendor performance, budget control, and high operational standards. Key priorities include overseeing housekeeping, pantry operations, scrap collection & segregation, feminine hygiene bin management, landscaping, SAP procurement (PR/SES creation), and data-driven MIS tracking.

Key Responsibilities & Operational Scope

1. Housekeeping & Hygiene Bin Management

• Daily Housekeeping Operations: Oversee comprehensive housekeeping activities across office floors, executive zones, plant restrooms, shop floors, and common areas to maintain highest cleanliness standards.
• Hygiene Bin Management: Direct the installation, routine servicing, compliance, and sanitary disposal of female hygiene bins across all corporate and plant washrooms. Ensure strictly regulated chemical treatments, specialized disposal bags, and contract compliance with specialized vendor services.
• Chemicals & Equipment Expertise: Maintain thorough technical knowledge of day-to-day cleaning chemicals (MSDS compliance, dilution ratios, eco-friendly agents) and modern mechanized cleaning equipment (scrubber-driers, high-pressure jet pumps, vacuum cleaners, carpet extractors).

2. Pantry & Scrap/Waste Operations

• Pantry & Catering Services: Manage end-to-end pantry operations, refreshment supplies, cafeteria hygiene, executive catering setups, and vending machine replenishment.
• Scrap Collection & Segregation: Supervise systematic scrap collection, segregation (hazardous, non-hazardous, organic, recyclable), waste storage, and compliant disposal in accordance with company EHS policies and environmental regulations.

3 Landscaping & Horticulture

• Grounds & Indoor Plants: Oversee basic landscaping, lawn maintenance, potted indoor plant rotation, garden upkeep, and seasonal planting across corporate lawns and plant periphery.

4. Vendor, Contract & SLA Management

• Vendor Governance: Manage soft service contractors and specialized agency staff. Track daily deployment, attendance, and adherence to standard operating procedures (SOPs).
• SLA & KPI Tracking: Define, monitor, and enforce Key Performance Indicators (KPIs) and Service Level Agreements (SLAs). Conduct monthly vendor evaluations and scorecards.
• Contract Administration: Assist in contract renewals, drafting Scopes of Work (SOW), rate negotiations, and ensuring compliance with statutory labour laws.

5. Financial Control & SAP Operations

• SAP Procurement: Hands-on execution of SAP workflow, including the timely creation of Purchase Requisitions (PR) and Service Entry Sheets (SES) for all soft service expenses.
• Invoice Verification & Auditing: Audit and verify vendor monthly billing, service logs, and attendance sheets prior to sign-off to ensure zero leakage.
• Budget Control: Monitor monthly operational expenditure (OPEX) against allocated operational budgets, identifying cost optimization and saving opportunities.

6. Quality Assurance, Audits & MIS Reporting

• Facility Audits & CAPA: Conduct daily/weekly site inspections and hygiene audits. Implement Corrective and Preventive Actions (CAPA) for identified non-compliances.
• Expert Excel & MIS Reporting: Leverage expert-level MS Excel skills (Pivot Tables, Advanced Formulas, Dashboards, Data Trends) to prepare daily, weekly, and monthly MIS reports for management review.

Key Skills & Technical Competencies

• SAP Systems: Proficiency in SAP (MM/PM modules) for PR creation, SES approval, and vendor purchase tracking.
• Advanced MS Excel: Expertise in data analysis, dashboard creation, VLOOKUP/XLOOKUP, Pivot Tables, and financial tracking.
• Hygiene & Sanitation: Comprehensive knowledge of industrial cleaning chemicals, infection control, and specialized hygiene bin servicing.
• Equipment Knowledge: Hands-on understanding of operating and maintaining commercial cleaning machinery.
• Vendor & Budget Management: Strong skills in contract negotiation, audit control, SLA tracking, and OPEX management.
• Communication & Leadership: Excellent verbal/written skills to coordinate with corporate leaders, plant managers, and frontline labour.

Qualifications & Requirements

• Education: Bachelor's degree in Hotel Management, Facility Management, Business Administration, or related discipline.
• Work Experience: 45 years of progressive experience in Soft Services management, ideally handling combined Corporate Office and Manufacturing Plant environments.
• Shift & Location: Willingness to manage plant-level shift operations and respond to facility emergencies as required.
