About the job

We are looking for an organized and responsible Accounts & Admin Executive to manage day-to-day site administration, office coordination, vendor and contractor coordination, documentation, and accounts support for our construction projects. The role will have a strong focus on site administration and project coordination, along with accounting, billing, petty cash, and documentation responsibilities.

Key Responsibilities:

A. Site Administration and Coordination
1. Manage day-to-day construction site office administration.
2. Coordinate with project teams, contractors, labour, vendors, and head office.
3. Maintain employee and workmen attendance records.
4. Maintain site registers, files, correspondence, and project documentation.
5. Coordinate with local vendors for site materials, supplies, repairs, and services.
6. Maintain and monitor fuel, vehicle, machinery, and equipment records.
7. Maintain records of licenses, permits, approvals, agreements, and statutory documents.
8. Follow up with vendors, contractors, consultants, and other stakeholders regarding pending documents and requirements.
9. Maintain proper records of work orders, contractor bills, invoices, challans, and supporting documents.
10. Manage site petty cash and maintain supporting vouchers.
11. Support the project team in ensuring smooth day-to-day site operations and administration.

B. Accounts and Billing Support
1. Verify material invoices, purchase bills, delivery challans, and vendor documents.
2. Handle and coordinate vendor and contractor billing.
3. Track project expenses and outstanding vendor payments.
4. Maintain accounting records using Tally Prime.
5. Assist with GST and TDS-related documentation and compliance.
6. Prepare expense statements, MIS reports, and other reports as required.
7. Coordinate with the Accounts/Finance team for reconciliation and month-end requirements.

Other requirements

1. BCom/BBA/Graduate in Commerce or equivalent.

2. 2 years of relevant experience, preferably in Construction, Real Estate, Infrastructure, EPC, or Contracting.

3. Hands-on knowledge of Tally Prime and MS Excel.

4. Experience in Site Administration, Vendor Coordination, Contractor Management, and Project Documentation.

5. Good understanding of construction accounting, vendor billing, GST, and TDS.

6. Strong communication, coordination, documentation, and follow-up skills.

7. Ability to independently manage day-to-day site office administration.

8. Candidates with experience working at construction/project sites will be preferred.
