ABOUT RANCHO LABS

Rancho Labs is a growing STEM + AI education startup founded by IIT Delhi alumni, focused on hands-on, project-based learning for students. As a bootstrapped, lean organization, we are looking for a detail-oriented and trustworthy professional to own day-to-day finance, compliance, payroll, and operations reporting.

ROLE SUMMARY

The Finance & Operations Executive will independently manage daily bookkeeping, financial reporting, invoicing, vendor payments, payroll, GST compliance, reconciliations, documentation, and organizational KPI tracking. The role requires strong ownership, discipline, accuracy, proactive communication, and strict confidentiality when handling sensitive financial and employee data.

This is a remote role requiring consistent daily availability during agreed working hours, timely reporting, and proactive issue escalation.

KEY RESPONSIBILITIES

1) Financial Reporting & Accounting

• Maintain accurate daily books of accounts and prepare centre-level daily P&L statements.
• Consolidate and prepare monthly organizational P&L statements.
• Generate accurate and timely customer/student invoices.

2) Payments & Payroll

• Process vendor payments, ensuring timely settlement and complete documentation.
• Process monthly employee payroll, including salary computation and applicable PF, ESI, TDS and professional tax deductions.
• Maintain payroll records, ensure timely disbursement, and handle employee payroll queries with discretion.

3) Compliance & Reconciliation

• Prepare monthly GST data and filing requirements, coordinating with the CA/tax consultant where required.
• Perform regular bank and account reconciliations.
• Maintain audit-ready financial records and ensure compliance with statutory requirements.

4) KPI & MIS Reporting

• Track and report centre-level KPIs on an ongoing basis.
• Track and consolidate individual employee/instructor KPIs.
• Prepare monthly organizational KPI/MIS reports for management review.

5) Documentation & Controls

• Maintain an organized digital filing system for financial documents, invoices, bills, receipts, contracts, payroll and compliance records.
• Ensure documents are easily retrievable for audits, management reviews, or other business requirements.

REQUIRED QUALIFICATIONS & SKILLS

• B.Com or equivalent; additional accounting/finance certification is a plus.
• 13 years' experience in bookkeeping, accounting, finance, or a similar operations role.
• Working knowledge of Tally or equivalent accounting software such as Zoho Books or QuickBooks.
• Familiarity with GST, TDS and payroll compliance; PF/ESI knowledge preferred.
• Strong Excel/Google Sheets skills for KPI tracking and reporting.
• Exceptional attention to detail, accuracy, organization and time management.
• Self-motivated and independent, with the ability to work effectively in a remote environment.
• High standard of integrity, ownership and confidentiality.

PREFERRED / GOOD TO HAVE

• Experience working remotely with a small business or startup.
• Experience with cloud payroll tools such as Zoho Payroll, RazorpayX Payroll or GreytHR.
• Experience working with a CA firm or independently handling GST filings.
• Experience preparing MIS/KPI dashboards.

WHAT WE'RE LOOKING FOR

Someone who can take complete ownership of the finance and operations reporting functionproactively raising issues, meeting critical deadlines such as payroll cutoffs, GST filing dates and monthly closing, and handling sensitive company and employee financial information with complete trust and discretion.

WORK ARRANGEMENT

• Remote/WFH, with defined daily working hours to be mutually agreed.
• Weekly/bi-weekly management check-ins for reporting and reviews.
• Company-provided/approved cloud accounting and payroll tools with role-based access.
• NDA/confidentiality agreement required during onboarding.
• 2-month initial probation period before long-term confirmation.
