About the Role

We are looking for a highly organised, proactive and dependable Executive Assistant to support the senior leadership team at Rotoris. The role requires excellent coordination, communication and follow-up skills, along with the ability to manage multiple priorities and handle confidential information with complete discretion.

The ideal candidate should be someone who can anticipate requirements, take ownership, follow up effectively and ensure that important tasks and commitments are executed on time.

Key Responsibilities

• Manage the day-to-day calendar, meetings and schedules of senior leadership.
• Coordinate internal and external meetings, calls and appointments.
• Prepare meeting agendas, notes, MOMs and follow up on action items.
• Track important tasks, deadlines and commitments and ensure timely closure.
• Coordinate with different teams on behalf of the leadership team.
• Handle travel planning, flight/hotel bookings, itineraries and other travel arrangements.
• Manage personal and professional correspondence, emails and communication as required.
• Prepare presentations, reports, documents and MIS for management.
• Maintain organised records of important documents and information.
• Assist leadership with follow-ups on business, operational and administrative matters.
• Coordinate with vendors, clients, partners and other external stakeholders when required.
• Handle confidential business and personal information with a high level of discretion.
• Support special projects and ad-hoc requirements assigned by the leadership team.
• Ensure that key decisions and instructions are communicated to the relevant teams and followed through to completion.

What We're Looking For

• 25 years of experience as an Executive Assistant, Personal Assistant, Management Assistant or similar role .
• Excellent verbal and written communication skills.
• Strong organisational and time-management skills.
• Ability to multitask and work under tight deadlines.
• Strong follow-up and coordination skills.
• Good command of MS Office / Google Workspace, Excel and PowerPoint .
• High attention to detail.
• Strong professional etiquette and interpersonal skills.
• Ability to maintain confidentiality and handle sensitive information.
• Proactive approach with strong ownership and problem-solving abilities.
• Willingness to work closely with senior leadership and adapt to a fast-paced environment.

Preferred

• Experience working with founders, CXOs or senior leadership .
• Prior experience in a startup, D2C, luxury, lifestyle or consumer brand would be an advantage.
• Strong ability to manage both professional and occasional personal responsibilities of senior leadership.
• Candidates who are comfortable with dynamic responsibilities and can work independently will be preferred.
