Role Description The Executive Assistant role at Fleak is a full-time remote position supporting senior leadership in daily operations and strategic initiatives. This role includes managing calendars, scheduling meetings across time zones, organizing travel, and preparing detailed itineraries. The Executive Assistant will handle expense reports, process reimbursements, and track budgets for executive activities. Day-to-day responsibilities also involve drafting and reviewing communications, preparing presentations and meeting materials, and maintaining organized digital files and documentation. The Executive Assistant will coordinate meetings and events, take and distribute meeting notes, follow up on action items, and serve as a key point of contact between executives and internal or external stakeholders while handling confidential information with discretion.
Qualifications
  • Strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and stakeholder communication.
  • Proficiency in Expense Reports, including tracking, reconciling, and processing executive expenses accurately and on time.
  • Solid Communication and Administrative Assistance skills, with the ability to draft clear correspondence, prepare documents, and manage information flow.
  • Experience using productivity and collaboration tools (e.g., Google Workspace or Microsoft 365, Slack, project management platforms).
  • Excellent organizational skills, attention to detail, and ability to prioritize multiple tasks in a fast-paced, remote environment.
  • Proven ability to handle confidential information with discretion and maintain a high level of professionalism.
  • Previous experience supporting executives or senior leaders, ideally in a technology or startup environment.
  • Associate or Bachelor’s degree in Business Administration, Communications, or a related field, or equivalent practical experience.
