Job Summary

We are looking for a proactive and organized Administration Manager to manage day-to-day office administration, front-office operations, facilities, vendor coordination, office maintenance, employee support, and administrative records. The ideal candidate should have strong coordination, communication, and organizational skills with the ability to handle multiple administrative responsibilities efficiently.

Key Responsibilities

• Manage day-to-day front office operations , including office consumable inventory and maintaining adequate stock levels.

• Provide administrative support to various teams, including data entry, document preparation, and general administrative activities .

• Monitor Housekeeping and Security attendance and ensure accurate billing.

• Ensure cleanliness, hygiene, and proper maintenance of office premises and common areas.

• Coordinate with external vendors and contractors for cleaning, repairs, and maintenance services , including plumbers, AC technicians, and pest-control agencies.

• Coordinate office events and employee celebrations, including arrangements for cakes, snacks, lunch, and other requirements .

• Maintain petty cash records and books of accounts .

• Manage and track Annual Maintenance Contracts (AMCs) for AC, pest control, office sanitization, coffee vending machines, and other facilities.

• Handle incoming calls and direct them to the appropriate departments or individuals.

• Manage courier distribution and related records.

• Coordinate printing and maintain records of ID cards, visiting cards, and RFID cards .

• Monitor CCTV cameras and coordinate with relevant teams for any issues.

• Coordinate office maintenance requirements related to computers, telephones, CCTV, AC, carpentry, UPS, and batteries .

• Manage and coordinate utility bills , including telephone, electricity, credit card bills, property tax receipts, and office rent.

• Arrange and maintain employee onboarding and offboarding kits .

• Coordinate employee transportation, including tracking and monitoring transportation services.

• Maintain records of travel expenses and reimbursement-related documentation .

Preferred Candidate Profile

• Graduate in any discipline; relevant administration/facilities qualification will be an advantage.

• Prior experience in office administration, front office, facilities management, or workplace administration .

• Candidates with experience handling vendors, office maintenance, AMCs, inventory, bills, and employee facilities will be preferred.
