About the job

Key responsibilities:

1. Maintain a daily task/follow-up sheet and ensure that instructions given by management are converted into documented tasks and closed within the defined timeline
2. Follow up with employees, drivers, vendors, and customers for pending activities; maintain pending/completed/delayed status and escalate delays without waiting for reminders
3. Maintain proper documentation of company processes and operational activities; organise physical and digital records systematically
4. Maintain records of quotations, work orders, bills, invoices, agreements and vehicle documents; maintain document checklists and identify missing or expired documents
5. Coordinate collection of required documents from employees, drivers, vendors and customers
6. Prepare daily and weekly MIS reports; update Google Sheets/Excel trackers and dashboards regularly
7. Collect data from different departments, verify completeness, and highlight pending tasks, exceptions, and delays to management
8. Help management implement company systems, SOPs, checklists, and reporting formats, and monitor whether the team actually follows them
9. Identify gaps between the defined process and actual implementation and report repeated process violations
10. Coordinate with operations, accounts, and administration teams for timely completion of activities and vehicle-related documentation
11. Maintain a daily/weekly action tracker and prepare pending-task reports for management review

Other requirements

1. Graduate in any discipline; BCom/BBA/BCA/BA/BSc preferred

2. 1-4 years of experience in operations, administration, back office, MIS, logistics/transport, documentation, accounts support, office coordination, or follow-up roles preferred

3. Strong in follow-up, coordination, documentation, and record-keeping

4. Good practical knowledge of MS Excel, Google Sheets, MS Word, email, PDF/document handling and data entry

5. Highly organised, disciplined, detail-oriented, and comfortable working with deadlines

6. Able to handle multiple follow-ups simultaneously and take ownership of assigned tasks

7. Freshers with excellent computer skills, communication ability, and strong discipline may also apply
